Requests by Strata AI
Case management for UK information rights requests. Built for the teams who have to get subject access right: on time, fully searched, properly redacted and provable afterwards.
One place for every request type
Requests by Strata AI handles subject access requests, freedom of information requests and right to erasure requests, each with its own statutory clock.
Subject access and erasure requests are due one calendar month after receipt, using the corresponding-date rule. Freedom of information requests are due within twenty working days. Deadlines account for weekends and UK bank holidays, so nobody has to count days on a calendar.
Everything a request needs, in the order it needs it.
Fourteen defined states
Every case moves through a fourteen-state lifecycle, from received to closed. You can see which requests are awaiting identity, which are on hold, which are in review and which are due.
Statutory dates, calculated
Due dates are set from the date received, with UK bank holidays applied. A hold pauses the statutory clock while you wait on the requester.
Verification before search
Confirm the requester's identity, or a representative's authority, before any personal data is gathered.
Search across your systems
Search Microsoft 365, using Microsoft search or eDiscovery, plus housing management, CRM and finance systems through connectors, and bring the results into the case.
Personal data, found
Documents are checked for personal data, including information about people other than the requester, so reviewers can decide what to withhold.
True content removal
Redactions remove the underlying content from the file, rather than covering it with a box that can be lifted.
Fails closed
Before release, an independent check re-ingests every file. If any file fails, nothing is released until it is fixed.
Auditable cases
Cases are auditable, so when the ICO, the Housing Ombudsman or a court asks what you did, you can show them.
Deployed in your own Azure
Each customer runs in a dedicated tenancy inside their own Azure subscription. The documents gathered for a request stay inside your environment.
Requests connects to the systems you already use through standard exports and APIs. You do not migrate anything into it, and it does not become another place your records have to be kept.
Requests connects to the systems housing associations use:
- Microsoft 365
- Microsoft Dynamics 365
- NEC Housing
- Civica CX
- MRI Software
- Yardi
- IBS
- SQL databases
If you use a system that is not listed, we will add a connector for it.
Who it is for
Requests by Strata AI is built for UK organisations that receive a steady flow of information rights requests and hold personal data across many systems. Housing associations are a particular focus, because their records are spread across housing, repairs, support and staff systems, and full of information about other residents.
We know authorisation differs by sector. Local authorities usually escalate selected cases, while many housing associations have the data protection officer approve each disclosure. Tell us how yours works and we will show you how Requests fits it.
