# Subject Access Requests by Strata AI

> Guidance and software for UK housing associations handling subject access requests (SARs) under Article 15 of the UK GDPR. Requests by Strata AI is case management for subject access, freedom of information and erasure requests, made by WeAreStrata Limited, trading as Strata AI.

Requests by Strata AI sets statutory deadlines using the corresponding-date rule and UK bank holidays, runs cases through a fourteen-state lifecycle, verifies identity, searches Microsoft 365 using Microsoft search or eDiscovery and housing systems through connectors (Microsoft Dynamics 365, NEC Housing, Civica CX, MRI Software, Yardi, IBS and SQL databases), detects personal data, applies true redaction that removes the underlying content, and checks every file at an independent release gate that fails closed. Each customer runs in a dedicated tenancy inside its own Azure subscription.

## Key facts

- Time limit: one calendar month from receipt, to the corresponding date in the next month; the last day of the month if there is no corresponding date; moved to the next working day if it falls on a weekend or bank holiday.
- Extension: up to two further months for complex or multiple requests, if the requester is told within the first month.
- Fee: normally none. A reasonable fee only for manifestly unfounded or excessive requests, or further copies.
- Searches must be reasonable and proportionate (Data (Use and Access) Act 2025).
